How Report Craft works, from connecting a client's ledger through to a finished PDF report pack.

Welcome to Report Craft

Report Craft reads your financial data from QuickBooks, Xero or MYOB and generates professional financial reports ready for your clients. Reports include Profit & Loss, Balance Sheet, Trial Balance, Appropriation, Cash Flow, Tax Schedule, Trust Resolutions and more — all bundled into a single PDF.

Getting Started

1. Connect your accounting package — From the Client Ledgers screen, click "Connect to QuickBooks" or "Connect to Xero" and sign in when prompted. Report Craft will import your chart of accounts and up to five years of financial data.

2. Select a client — Click on any client ledger to open the report navigation. Use the sidebar or keyboard shortcuts to switch between reports.

3. Generate reports — Each report is generated on-demand from your locally cached data. Use "Multiple Reports" to bundle several reports into a single PDF for your client.

4. Refresh data — Click the Refresh button (F12) to pull the latest figures from your accounting package at any time.

Keyboard Shortcuts

Report Craft is designed for keyboard-driven workflows. Key shortcuts are shown next to each menu item and button. Common shortcuts include:

F1 — Profile
F4 — Client Ledgers
F5 — Groups
F7 — Print PDF (when viewing a report)
F11 — Save
F12 — Refresh data from accounting package
1–9, A–J — Jump to individual reports within a client

Groups and Consolidations

Use Groups to organise related client ledgers (e.g. "Smith Family Group"). Consolidations allow you to combine multiple ledgers into a single consolidated report.

Adjustment Journals

You can post adjustment journals directly within Report Craft without modifying the source accounting package. These adjustments appear in your reports but do not flow back to QuickBooks or Xero.

The Importance of Account Sub-Types

Report Craft relies on the account classification and sub-type set in your accounting package to place each account in the correct section of your reports. If accounts have incorrect or missing sub-types, they may appear in the wrong section or be excluded entirely.

For example:
• A bank account classified as "Other Current Asset" instead of "Bank" will not appear under Cash and Cash Equivalents on the Balance Sheet.
• Cost of Sales accounts classified as a general "Expense" will not be included in the Gross Profit calculation.
• Loan accounts without the correct liability sub-type may appear under Current Liabilities instead of Non-Current Liabilities, or vice versa.

Best practice: Before generating reports, review your chart of accounts in QuickBooks or Xero and ensure every account has the correct classification and sub-type. This is the single most important step for accurate, professional reports. After making corrections in your accounting package, click Refresh (F12) in Report Craft to pull the updated account structure.

Declarations, Notes and Comments

Report Craft provides default text for Declarations, Notes and Comments sections. These can be edited per client using the rich text editor. Use the "Reset" button to restore the default text at any time.
